Roadshow transportation in Toronto

Roadshow transportation in Toronto means you book a chauffeur and car by the hour. The chauffeur drives your team from one investor meeting to the next, mostly around Bay Street and the Financial District. Airport Limo Toronto has done chauffeured work for more than 15 years. We answer the phone 24 hours a day and bill companies through a corporate account.

What you get

Do you offer hourly as-directed billing for executive multi-stop roadshows?

Quick summary: Yes. Airport Limo Toronto books roadshow days as hourly or day rate chauffeur hire, so you can add, drop or move stops during the day. If the day starts or ends at Pearson, we price that airport leg from our published flat-rate table.

As-directed means the chauffeur goes where you say, in the order you choose, and the clock runs by the hour. You can book it as hourly chauffeur service, a day rate chauffeur or multi-stop chauffeur hire. Each one gives your team one private chauffeur for the day. It sits alongside our other chauffeur services in Toronto.

We do not publish an hourly or day price. We quote the day when you book, once we know the stops, the hours and the vehicle.

We price the airport legs differently. They follow our flat rates, and those depend on the pickup city. From the Toronto Metro Area to Pearson, a luxury sedan is $85, a luxury SUV is $125 and a Sprinter van is $550. Other towns have their own rows in the full flat-rate table on our website. Check your own pickup city there.

Here is what we tell every finance team. A roadshow has two parts: the airport legs and the as-directed hours in between. Ask for both on one quote. Then the day shows up as one number, not two bills someone has to match.

To set it up, give us a start time, the first pickup and a rough end time. Many teams start at the Fairmont Royal York. If plans change during the day, call dispatch. You do not need a new booking.

How it works

Are your drivers familiar with the underground loading and drop-off zones for major Bay Street towers?

Quick summary: Yes. Our chauffeurs work the Bay Street towers every week. At many of them, drop-offs happen at an underground dock linked to the PATH or at a set concourse entrance, not the street door. Send the building and entrance name with each meeting so the car arrives at the right spot.

We drive to the big Financial District towers all the time. These include Brookfield Place at Bay and Front, Bay Adelaide Centre at Bay and Adelaide, and First Canadian Place at King and Bay. The PATH is an underground walkway that links many downtown towers. Your chauffeur can drop a guest at one building, and the guest can walk inside to the next.

There is one problem. The meeting invite usually lists only the street address. Many Bay Street towers send guests to a different door. Ask the host's assistant which entrance guests use, then pass that to dispatch with your schedule.

For each meeting, send us:

  • the building name
  • the entrance or dock guests should use
  • the meeting time
  • a host contact name and phone number

Every building has its own rules, and they change. When your schedule arrives, the chauffeur confirms each dock or entrance. Out-of-town teams often start or end at Union Station or the Metro Toronto Convention Centre (MTCC). We plan those stops the same way.

How do you plan routes around downtown construction and the King Street transit zone?

Quick summary: We plan downtown roadshow routes around two things. One is the King Street Transit Priority Corridor, with no through traffic between Jarvis and Bathurst. The other is the Gardiner Expressway lane cuts. We add buffer time between meetings instead of promising the shortest drive.

Cars cannot use King Street as a through route between Jarvis and Bathurst. A pickup at King and Bay has to come in from Bay Street or a cross street. Tell your team which corner to wait on.

The ongoing lane cuts on the Gardiner Expressway cause heavy backups downtown. We add a buffer to any leg that uses the Gardiner, mostly trips to and from Pearson. For trips north and east, the chauffeur picks the road for that day. The choices are the Don Valley Parkway (DVP), Highway 427, Highway 401 and the Highway 407 Express Toll Route (ETR).

Winter is harder. Lake-effect snow and sudden freezing rain can slow the drive from Pearson to downtown a lot. After a winter landing, leave extra time before the first meeting.

Our view: getting to meeting four on time matters more than how fast any one drive is. Meetings 15 minutes apart across the Financial District look fine on paper. One Gardiner backup breaks the whole day. Leave room before the meetings you cannot miss.

Vehicles

What luxury executive vehicles do you provide?

Quick summary: Airport Limo Toronto runs luxury sedans, luxury SUVs, Sprinter vans and stretch limousines. A sedan suits one or two executives. An SUV suits a small team with luggage, and a Sprinter van carries a full analyst group. From the Toronto Metro Area, the published airport flat rates for those three are $85, $125 and $550.

The price column is the airport flat rate for Toronto Metro Area pickups. It is not the hourly roadshow rate, which we quote for each booking.

We would skip the stretch limousine for a roadshow. It is the slowest car to park at a tower dock and the hardest to fit into a tight downtown curb. Investors notice it too. A sedan or SUV is the better pick.

If your team needs to split up, two sedans can cover two meetings at the same time. Then both groups meet up for the next stop.

Send us your meeting list and flight number, and we will quote the airport legs and the hourly day together.

Timing

Roadshow airport legs at Pearson, Billy Bishop, Hamilton and Buffalo

Quick summary: Roadshow teams often fly into Toronto Pearson (YYZ) or Billy Bishop Toronto City Airport (YTZ). We cover both, plus Hamilton and Buffalo airports. A meet and greet chauffeur can wait inside arrivals with a name sign, so the team goes straight from the gate to the first meeting.

For Pearson arrivals, give us the flight number when you book. It is the first step of every booking.

Pearson has strict rules on commercial curb permits and staging areas. A for-hire car cannot just wait at the door. With a meet and greet, the chauffeur stays with your team inside the terminal. Nobody ends up hunting by phone at the curb while the car circles.

Billy Bishop is on the downtown waterfront. A YTZ arrival is a short drive from Bay Street meetings. Our Billy Bishop airport limo service page explains how those pickups work.

Some teams fly through Hamilton or Buffalo to cross the border or to get a lower fare. See our Hamilton airport limo service and Buffalo airport limo service pages for those trips.

City of Toronto vehicle-for-hire and limousine licensing, plus Pearson curb permits, control who can pick up and where. Every one of our chauffeurs is licensed and vetted. Every car is licensed for hire and commercially insured.

Booking

Who should book a point-to-point ride instead

Quick summary: Skip the hourly roadshow booking if you have only one meeting, or one ride to and from the airport. A one-way or return airport transfer at our flat rate costs less. Hourly hire is worth it when a team has three or more stops in a day and cannot lose time waiting for rides.

The hourly clock keeps running while you sit in a meeting. For one two-hour meeting with nothing after it, two point-to-point rides almost always cost less than holding a car.

  • One downtown meeting: book a one-way airport transfer or our taxi service for single trips.
  • Two meetings far apart with a long lunch in between: compare two separate rides with holding the car. Dispatch can tell you which costs less.
  • A group going to one event, not a run of meetings: group and event transportation fits better.

Here is our honest test. Hourly hire is the right buy when missing one meeting would cost you more than the car.

Frequently asked questions

Can the chauffeur stay on dedicated standby directly outside meetings in the Financial District?

Yes, the same chauffeur and car stay with you between meetings, but often at a nearby dock or legal stop, not right outside the door. The King Street rules and each tower's curb rules limit where a car can idle. The chauffeur waits close by and pulls up when you call.

How does dispatch accommodate sudden changes to our meeting schedule or location?

Call dispatch at +1 647-361-8237 at any hour, and the chauffeur gets the new stop or time right away. On hourly hire, a changed meeting only changes the route. We bill any extra time by the hour.

Can we set up a consolidated corporate account with itemized invoicing for accounting?

Yes. Airport Limo Toronto has corporate account billing, so roadshow days and airport legs all go to one company account. When you open the account, tell us how to break trips out on the invoice, for example by day, traveller or cost centre.
